A participant does not receive their email login code

Login code not received, rejected, or expired: the causes, the fix on the participant's side, and what you can do.

To access the exam, a participant logs in with their email address. Evalmee sends them a temporary login code. This article explains what to do when this code doesn't arrive or isn't accepted.

How login works

  1. The participant enters their email address and clicks Continue with email.

  2. Evalmee sends them an email containing a login link and an 8-digit code (in the format 1234-5678).

  3. On the Check your email screen, they enter the code in the Enter code field and click Continue with login code. They can also click the link in the email directly.

💡 The code is valid for 15 minutes and can only be used once. It only works in the browser where the participant requested it: if they open the email on their phone, they must enter the code in the page left open on their computer, or click the link.

The participant does not receive the email

What the participant should check:

  • The spam or junk folder, and the “Promotions” or “Updates” tabs of their mailbox.

  • The address entered: a typo, or a different address than the one used to register for the exam.

  • That their mailbox is not full and that no filtering rule blocks Evalmee's emails. On a work or institutional address, the IT department may have blocked the sender.

  • Some providers, notably Orange (orange.fr and wanadoo.fr addresses) and iCloud (Apple), are known to filter these emails. If nothing arrives, the participant can use another address (Gmail, Outlook…): register it for the exam in the Students tab, then send them a new convocation.

To receive a new code, they go back to the login screen, re-enter their address and click Continue with email again. Only the latest code received should be used.

The code is rejected

  • “Invalid login code. Please try again.”: the code is wrong, already used, expired (more than 15 minutes) or requested from another browser. The participant requests a new code and enters it in the same page.

  • “Too many attempts. Please try again in 1 minute.”: they must wait one minute before trying again.

The link in the email has expired

When a participant clicks an expired link, Evalmee displays “Link Expired” and automatically sends them a new email: “A new link has just been emailed to you.” They just need to open this new email.

“Unauthorized domain”

If the participant sees “Your email address … is not allowed to log in”, the domain of their address is not accepted by your organization. They must use the address provided by your institution, or you must contact support to have the domain allowed.

What you can do

  • Resend the convocation: in Monitor › Live, click ⁝ at the end of the participant's row, then Send convocation. They receive a new email with their personal link. See Send convocations to participants by email

  • Check the address of the participant in the Students tab of your exam.

  • Make up for lost time: if the participant started late because of this issue, add time for them. See Add extra time

Best practices

  • Send convocations well before the exam and ask participants to test their login in advance.

  • Ask them to check their spam and to add the sender to their contacts.

  • Allow 10 to 15 minutes of margin before the opening so that everyone can log in.
